What is the purpose of us processing your personal data?
Pursuant to Regulation (EU) 2016/679 (General Data Protection Regulation, “GDPR”) and Spanish Organic Law 3/2018 on the Protection of Personal Data and Guarantee of Digital Rights (LOPDGDD), we inform you that KEYNOTE BOUTIQUE, SLU processes the personal data of FLO users for the following purposes:
- To create and manage your user account, authenticate you, and provide access to the FLO platform and its features (AI coaching, training modules, role plays, speech and feedback tools, knowledge base, and related services).
- To deliver the core service itself — including processing the messages, voice recordings, documents, and other content you submit to FLO so that our AI coach can respond, analyse, transcribe, generate audio, and personalise your learning experience.
- To send you transactional and program-related communications that are necessary to operate the service (account notifications, password resets, training reminders, and the program emails you have subscribed to).
- To improve the quality, safety, and accuracy of FLO — for example by reviewing aggregated usage data, debugging issues, and refining our AI prompts and training content.
- To prevent abuse and fraud (for example, unauthorised access attempts, denial-of-service attacks, spam, or misuse of the AI features).
- To comply with our legal and regulatory obligations, including disclosing data to public bodies and authorities where required to do so by law.
How long do we keep your data for?
Your data will be kept for as long as your account and the contractual relationship with us remain active, and afterwards for the period required to comply with our legal obligations, or until you request its deletion.
What is the legitimacy for the processing of your data?
The legal basis for processing your data is the performance of the contract you enter into with KEYNOTE BOUTIQUE, SLU when you use the FLO service, your consent (where specifically requested, for example for optional communications), our legitimate interest in operating, securing and improving the platform, and compliance with our legal obligations.
To which recipients will we communicate your data?
Where you have given your consent, or where it is necessary to deliver the service you have signed up for, your data may be shared with the third-party providers that power FLO. These include our AI partners (OpenAI and Anthropic) for chat, coaching and content generation; ElevenLabs for voice synthesis and AssemblyAI for speech-to-text; Postmark for transactional and program emails; and our hosting and database providers (Replit and Neon) for running the platform and storing your account and content. Your data may also be disclosed where we are required to do so to comply with a legal obligation, a court order, or a lawful request from a competent authority.
Some of these providers are located outside the European Economic Area. In such cases, transfers are protected by appropriate safeguards (such as the European Commission’s Standard Contractual Clauses) as required by the GDPR.
What are your rights when you give us your data, and how can you exercise them?
You have the right to obtain confirmation as to whether or not KEYNOTE BOUTIQUE, SLU is processing personal data concerning you. You also have the right to access your personal data, to request that incorrect data be rectified, and to request that your data be deleted when, among other reasons, it is no longer necessary for the purposes for which it was collected. In certain circumstances you may request that the processing of your data be restricted; in such cases we will only keep the data for the establishment, exercise or defence of legal claims.
You may also exercise your right to data portability, and to withdraw any consent you have given at any time. Withdrawing your consent does not affect the lawfulness of processing carried out before the withdrawal.

KEYNOTE BOUTIQUE will request certain personal data which is mandatory in order to create your account and to provide the FLO service.

KEYNOTE BOUTIQUE may share personal data with the third-party service providers needed to operate the FLO platform, as described in the “To which recipients will we communicate your data?” section above. In all cases, KEYNOTE BOUTIQUE guarantees the confidentiality and security of personal data, including in any international transfers carried out in connection with the provision of the service, applying the appropriate safeguards required by the GDPR.
